I have planned major events for the last 10 years and one of the only aspects of it I do not enjoy is tracking down RSVPS. UGHHHHH!
RSVPs (head counts) play into every aspect of an event -
How many chairs do I need? Let me count the RSVPs.
How much food should I order? Let me count the RSVPs.
How many favors should I purchase? Let me count the RSVPs.
How large of a dance floor should I order? Let me count the RSVPs.
You get the idea!
When you receive an invitation that requests an RSVP it is important to RSVP promptly. Whether you are available to attend or not, respond in the manner requested by the requested date, if not sooner. DO NOT wait to be contacted for an RSVP. AND YES, you should still RSVP if you don't plan to attend (unless the invitation instructs otherwise). It is considered proper etiquette to thank the hosts for the invitation at the time of the RSVP, during the event, and in some cases, afterward.
If a host includes the phrase"Regrets only" on the invitation you are only required to RSVP if you are unable to attend.
If you are uncertain who is invited, refer to the envelope the invitation came in (more information here).
Lastly, if you are uncertain if you'll be able to attend or not, be honest with the host and ask if you may have an extra day or two to make a determination. Or, if there are unique circumstance that makes it difficult to determine your attendance, just let the host(s) know. Many hosts will work to find a way to accommodate you.
